SERVER REPLACEMENT

14-ADM-001

The proposed project consist of the replacement of City Hall's network servers.

Description: Justification:

As the demands for our servers increase with the addition of newer programs and technology, the current servers are out of date about every 5 years.

This project will have minimal impact on the operations budget.

Budget Impact:

The proposed project consists of replacing the city's current copier with a new machine. The copier gets used heavily with all of the board and commission meeting packets, council packets and general every day use. 15-ADM-001 COPIER REPLACEMENT At the time of replacement, the current copier will be 5 years old and in need of replacement. This past year, there have been numerous service calls to make repairs on the machine. The majority of the calls were to replace worn out parts. The proposed project would upgrade the office furniture in City Hall. The current furniture was acquired at the time the City moved into the current building. In recent months. The City has looked at improving the ergonomics of the office furniture for its employees. 19-ADM-001 CITY HALL FURNITURE Having office furniture that is a good ergonomic fit for employees helps reduce the potential for work comp claims. Employees in City Hall spend a great deal of the day sitting at their desks and having the right furniture will make this task easier on the body. The proposed project will purchase the old Northwest Bank facility located at 101 W 5th Street for use as a new City Hall. The City plans on renovating the facility to hold City Hall offices, meeting space and City Council Chambers. Space will be dedicated for the Spencer Main Street program. 19-ADM-002 CITY HALL REMODEL The City has occupied the current facility for approximately 30 years and the current layout does not meet the current needs of the City for an efficient office building. The new facility has more square footage and can be renovated in a manner that will be more efficient that what could have been achieved at the current facility. The City has entered into a sales agreement with Farmers Bank for the current City Hall. The proposed project will update the City's version of it's financial software from INCODE V. 9 to INCODE V. 10. The current program was purchased in approximately Fiscal Year 2002. The newest version will allow the City to keep up with the changes in technology and may allow for greater uses of the new program 19-ADM-003 INCODE SOFTWARE UPDATE The current system is over 15 years old and has served the City well. While it is not being phased out by the software provider, it is time that the City upgrades o the newer version to keep current with advances in programming and technology. This project will have minimal impact on the budget. There would be no impact on the operating budget with this project. At this time, there is no know impact to the operating budget due to this project.
